Project and Contracts Coordinator

Our client is a Calgary-founded prestigious professional services firm with a 60-year history. With 105 employees and 3 offices in Canada. Staff work in office 4 days/week; the fifth day can be remote.

Role

You will support the project management and document control for this architectural design firm. Support the Lead Architect & CFO in project scheduling, timesheet reporting, timeline management, meeting coordination, and assembly of record for meetings on a key project for the firm. You will also be responsible to coordinate, assemble, and track contracts with clients and consultants for the firm’s other projects.

Coordinate document controls with the client, produce project tracking documents (including daily/weekly/monthly staff reporting), maintain and track project schedule (including deliverables and deadlines), and assemble presentations.

Other tasks may include:

  • Assist in the development of project management documents such as budgets, schedules, scope statements, and project plans
  • Execute project management administrative and bookkeeping tasks such as weekly timesheet reporting, budget to actual comparisons of project budgets, and margins analysis of staff members on the project
  • Monitor staff utilization rates in comparison to project budgets and weekly timesheet reporting.
  • Foster cross-team collaboration to help project team members complete project tasks and produce deliverables
  • Attend meetings, maintain, and distribute meeting notes

Requirements

  • Post-secondary education in commerce, business administration, management or related
  • Strong skills and interest in organizing internal people, external parties e.g., clients, trades, and documents & data
  • Strong in creating Microsoft Excel spreadsheets including the use of pivot tables, vlookups
  • Experience with project management software (they use Deltek Ajera) and other corporate/ERP software nice to have
  • Interest in project management certifications would be an asset, such as Certified Associate in Project Management (CAPM), Project Management Professional (PMP)
  • Previous exposure to architectural or engineering firms would be nice to have
